• Vehicle information: Type, make, model, year, and modifications
• Payment information: Processed securely by Stripe — we do not store credit card numbers
• Location data: During rides, if you opt into GPS tracking for safety purposes

2. How We Use Your Information

• Process your event registration and payments
• Communicate event details, schedule changes, and reminders
• Ensure rider safety during trail rides (GPS tracking, SOS)
• Contact your emergency contact if needed during the event
• Improve the event experience for future years
• Send post-event surveys and follow-up communications

3. Information Sharing

We do not sell your personal information. We may share limited information with:

• Ride leaders: Your name, vehicle details, and emergency contact for safety purposes
• Payment processor (Stripe): To process transactions securely
• Email service provider: To send event communications
• Emergency services: If required for your safety

4. GPS Tracking & Location Data

During trail rides, we may collect GPS location data for safety purposes. This allows ride leaders and event staff to monitor rider positions, respond to SOS signals, and ensure all riders complete their routes safely. Location data is retained for the duration of the event and deleted within 30 days after the event concludes.

5. Photos & Media

Photos and videos may be taken during the event for promotional purposes. By participating, you consent to the use of your likeness in event-related media. If you prefer not to be photographed, please inform event staff.

6. Data Security

We use industry-standard security measures to protect your information, including encrypted connections (HTTPS), secure authentication, and role-based access controls. Payment information is handled entirely by Stripe and never stored on our servers.

7. Data Retention

We retain your account and registration data to support future event registrations and provide you with your participation history. You may request deletion of your data at any time by contacting us.

8. Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate information
• Request deletion of your account and data
• Opt out of non-essential communications
• Withdraw consent for GPS tracking
